About The Opportunity

We are looking for an Executive Assistant, based in London, to support our Chief Revenue Officer and VPs within the Sales team. The role will be varied and fast-paced, involving a number of administrative and clerical requirements, in addition to supporting some ad-hoc project work. As the key connection between the C-Level Management and the rest of the business, high attention to detail and the ability to effectively prioritise business requirements are integral to the success of this role.

You will have an intuitive ability to identify and address the needs of senior managers and provide support in order to ensure that the company’s workflow runs smoothly. An ability to adapt to a number of office management technologies and handle high-volume, high-impact scheduling is essential.

In this role, you will:

  • Coordinate the daily calendar of the Chief Revenue Officer and multiple VPs within the Sales team

  • Plan appointments and events

  • Create agendas for weekly Sales team all hands meetings and Sales Leadership meetings

  • Make travel arrangements

  • Manage phone calls and emails

  • Respond promptly to managers’ queries

  • Prioritize when all issues are “urgent”, assessing what matters and has the biggest impact on the business

  • Process expense reports and invoices

  • Act as the point of contact between executives and employees/clients

  • Chair the ‘Culture Committee’ for International Sales and engage with colleagues across the region to support with local culture initiatives, events, and listening circles

  • Organise offsites, team social events, and group activities for the local Sales team

  • Facilitate internal communication (e.g. distribute information and schedule presentations)

  • Suggest more efficient ways to run the office and troubleshoot malfunctions

  • Review and recommend changes to our company policies

  • Exhibit exceptional critical thinking skills, being able to solve problems with practical judgment

  • Navigate a global, matrix-organization whilst maintaining positive, authentic relationships

  • Be a self-starter, delivering what’s asked for before it’s asked

About You

  • Experience working in a fast-based environment and managing multiple key stakeholders, preferably Executive Assistant or hospitality experience

  • Be a self-starter, delivering what’s asked for before it’s asked

  • Experience working in a fast-moving organisation

  • Highly adaptable and able to deal with ambiguity

  • Comfortable working under pressure, time-sensitive, and rapidly evolving situations

  • Knowledge of office procedures

  • Solid experience with office management systems, ERPs, and MS Office / Google Suite

  • Familiarity with online calendars and cloud systems

  • Experience using office equipment, including printers

  • Strong communication skills (via phone, email, and in-person)

  • Experience exercising discretion and confidentiality with sensitive company information

  • Excellent organizational skills with an ability to think proactively and prioritize work

  • Educated to Degree level preferred
