Position Overview & Specifications

We are offering an exciting and engaging role where no two days are the same within a nurturing and stimulating environment. You’ll have the chance to facilitate the smooth running of an organisation that is dedicated to empowering and supporting their staff and students.

Acting as the first point of contact for the department, you’ll respond to queries from students, clients and host families in a helpful and friendly manner and play an important role in students’ welfare by placing them in suitable host families and monitoring their stay. The role will also include dealing with digital diary appointments and our database, generating mailings, filing, making outgoing calls and emails to current clients, and answering the telephone. You will work closely with the management team to recruit new host families and will be responsible for maintaining accurate and confidential records relating to school students’ and current host families’ documentation.

Main Responsibilities

· Contacting students, clients and current host families

· Recruiting Host Families

· Assessing Host Family Suitability

· Arranging Host Family Viewings

· Updating and maintaining student and host family records

· Allocating students to host families

· Having the emergency phone at evenings/weekends

· Communicating effectively with relevant parties

· Additional duties as required

Person Specification

Essential

· Highly organized, resilient and possesses dedication to get the job done

· Attention to detail

· Ability to maintain a friendly and pleasant atmosphere in the administration office

· Ability to work in a team and communicate efficiently with all parties involved

· Willingness to take responsibility of own tasks

· Proven organisational / administrative skills

· Ability to multitask and work under pressure

· Ability to anticipate problems and be resourceful when working to resolve them

· Flexibility, adaptability and ability to cope with a fast-paced and changeable industry

· Willingness to learn and develop

· Proficiency in MS Word, Excel and Access

Desirable

· First Degree or equivalent (Level 6 Qualification)

· Proven experience with customer service

· Proven experience with accommodation within a language school environment

· Ability to use social media to recruit and advertise.
