Position Overview & Specifications
Due to an internal promotion, we are currently looking for an office admin assistant to join our friendly, fast paced, forward thinking administration team.
Your main duty will be to ensure there is smooth running of the branch and provide administrative support.
Other duties will include
- Sorting incoming and outgoing post and and scanning to the appropriate colleague.
- Back up telephone for reception and providing reception cover when needed.
- Preparing closed files for archiving and retrieving from archive centre if required.
- Carrying out banking procedures and paying in cheques received in that day.
- Maintaining fire alarm records and responsible for the system working efficiently.
- Maintaining two weekly health and safety, and fire safety checks.
- Ordering stationery on a weekly basis.
- Ordering kitchen and food supplies for the branch.
- Provide refreshments for clients as necessary.
- Photocopying large trial bundles for various departments as needed.
- Responsible for supervision of recycling as much as possible.
- Maintaining tidiness of library.
- Ensure all client facing areas are kept to a high standard.
- To assist with any other ad hoc office support tasks as they arrive.
The ideal candidate will be
- Personable and have a friendly manner.
- Able to work as part of team as well as being able to use their own initiative.
- Experienced communicating via email and telephone in a professional manner.
- Able to have a positive, confident and flexible approach to tasks whilst remaining organised.
- Well presented at all times with a professional and courteous manner.
The ideal candidate will have
- Previous office experience (Preferred but not essential)
- Sound knowledge of IT.
