Position Overview & Specifications

We have a great opportunity for a dynamic, talented, self-motivated, and focused individual to join our team to provide first class support to the Executive Team. You will have significant experience of working as a PA at Executive or Director level and be able to work autonomously providing a full range of high-level support, including complex diary management, effective prioritisation and have working experience of supporting meetings and be able to accurately take and transcribe minutes.

The Role

  • Supporting the Executive Leadership Team (ELT) with day-to-day duties
  • Providing extensive calendar and inbox management for the ELT
  • Support with drafting meeting agendas and minute taking at monthly team meetings and the monthly ELT team meeting.
  • Track action items and key issues to closure with a high degree of integrity and accountability.
  • Ensure that the ELT are on top of, and working on, the organization's most important priorities.
  • Partner with the ELT and CEO's EA in building a collaborative working environment, exercising good judgment and professionalism
  • Partner with the ELT to ensure execution and reporting aligned to the strategy and objectives.
  • Manage multiple requests and priorities – staying calm under pressure, exercising judgment, and seeing beyond the day-to-day to anticipate changing needs.
  • Assist with special assignments/projects, as needed.
  • Assist with drafting of presentations and other documents as required.

The Person

  • Proven experience as an Executive Team Assistant in a fast-moving environment, supporting multiple senior leaders at C-Suite level.
  • Extensive minute-taking experience at a senior level.
  • Proficient in Microsoft Office products (Outlook, Word, Excel, PowerPoint, and SharePoint / Teams).
  • Exceptional judgment and discretion regarding information, which may be confidential, material and/or non-public.
  • Highly organised with ability to manage multiple projects effectively.
  • Strong attention to detail.
  • Excellent communication skills (written and verbal).
  • Strong organisational skills.
  • Able to multitask and prioritise workload to meet deadlines.
  • Ability to work effectively in a remote capacity.
