Position Overview & Specifications

The role

The Firm’s Real Estate department has established a reputation for providing practical and proactive property law advice through a comprehensive understanding of the Real Estate market. The Firm is committed to a strong Real Estate function being at its heart.

This is an excellent opportunity for an experienced Legal PA to join our Residential Development team, working with other Legal PAs and Fee earners to provide first class professional legal PA and administrative support.

You will work principally for named fee earners, however all Legal PAs work as part of a team with shared responsibilities. You will be expected to prioritise and share tasks when appropriate in order to meet business needs.

Main responsibilities

Responsibilities will include:

  • Maintaining Fee Earners' inboxes and diary management.
  • Corresponding or speaking directly with clients/third parties as required.
  • Amending documents using track changes.
  • Regularly carrying out property searches using Land Registry and TM Search providers.
  • Producing correspondence via BigHand digital dictation system and/or copy typing.
  • Opening new matters, following compliance rules, preparation of engagement letter, email to client and initial letter to solicitors.
  • Uploading and downloading documents from data rooms from/into Filesite.
  • Checking and engrossment of agreements.
  • Completing Smart Forms where applicable.
  • Proof reading to ensure all documents produced are accurate and correctly presented.
  • Building documents using PDF docs to incorporate various documents for engrossment.
  • Occasional preparing and submitting registration applications on-line through the Land Registry Portal and dealing with any requisitions raised by the Land Registry.
  • Preparation of financial statements and completion statements.
  • Occasional preparation of Land Transaction Returns, submitting and making payment to HMRC.
  • Preparation of accounts forms and, where necessary, management of client invoices.
  • Liaising with the respective fee earner to establish priorities.
  • Collating and scheduling Deeds to be archived or for sending to clients/lender.
  • Dealing with file closures to include investigating various account issues, i.e. monies on client and office accounts.
About you

You will be able to demonstrate;

  • Previous secretarial/PA experience within a professional services environment.
  • Proven experience of working within a Real Estate department.
  • Practical use of BigHand digital dictation system.
  • Excellent organisational skills and time-management skills.
  • Excellent attention to detail.
  • Excellent communication skills, with the ability to build relationships with both internal and external stakeholders at all levels.
  • Proactivity, with the ability to use your initiative in supporting your team.
  • Ability to produce accurate, correctly presented documents.
  • Typing speed of 75wpm+ and with a very high level of accuracy.
  • Practical use of Word, Outlook and Filesite/iManage.
  • Experience in completing property forms using Smart Forms.
  • Practical use of Mattersphere.
  • Practical use of DocuSign.
