We are seeking an experienced, energetic and open-minded individual to advance their career and fulfill the role of an Executive Assistant to the Artificial Intelligence/Machine Learning Engineering Team at our UK AIML Hub in St Pancras Square in Kings Cross.

The ideal candidate will possess excellent administrative skills and will work independently while also contributing to the overall success of the AI/ML team. Key attributes are a positive attitude with a flexible work style to adapt and manage multiple tasks of equal/varying priorities. Responsibilities will include but, not limited to, calendar management, booking and managing travel, expense reconciliation, arranging interviews, organizing meetings and social events across varying sites and time zones. This role will report into the head of operations and be part of the operations team which will enable the candidate to be emersed into the breadth of work and innovation that the AIML group are delivering.
Responsibilities:
This role will provide YOU the opportunity to lead key activities to progress YOUR career. These responsibilities include some of the following:
- Provide calendar support to the UK VP and other leadership members as needed.
- Schedule meetings for the leadership team and project teams coordinating logistics such as booking conference rooms, technology, greeting and registering visitors.
- Schedule and organize logistics for conducting departmental interviews and site events.
- As lead administrator in the Kings Cross office, manage day-to-day activities and priorities effectively. The ability to adapt to requests and respond in a professional manner is essential as you interface with all levels of management across GSK and external organizations.
- Coordinate domestic and complex international travel. Process necessary Visa applications.
- Manage multiple, sometimes conflicting, priorities in a fast-paced and demanding environment without compromising quality of work.
- Provide light touch project management support to AI/ML project team members and back-up support to the Executive Assistant as required. Work closely with the other assistants in AIML to ensure seamless ways of working.
- Excellent team player with good listening skills and ability to work un-supervised.
- Possess excellent written and oral communication skills
- Take initiative in building relations and keeping lines of communication open.
- Maintain the highest level of confidentiality and handle sensitive matters according to GSK policy.
- Follow processes and guidelines for Meeting Management, Catering and Travel and Expense. Communicate changes in policies and provide expert advice as needed.
- Undertake ad hoc projects as required

- Associate Degree or Secretarial Certificate
- Strong organizational skills and ability to prioritize workload to meet deadlines
- Excellent verbal and written communication skills
- High ethical standards
- Competent in GSK systems (Microsoft Office, Concur, Meeting Manager, Workday, Workplace, Serraview, CERPS)
- Knowledge of Confluence and Slack would be advantageous
