Position Overview & Specifications

Job Purpose and Background

The Team Assistant is the glue that holds the office together. The overall goal is to support colleagues with everyday administrative tasks, and by taking on some of their workload, it frees them up to concentrate on the business or specific projects. In essence it is a PA job that supports a team, making a Team Assistant a vital cog in the machine. This role will support up to 5 Senior Management Team (SMT) Directors.

Key responsibilities include:

  • Scheduling internal and external meetings and co-ordinating busy diaries. Ensuring all arrangements for meetings are completed including, booking meeting rooms and catering
  • Anticipating scheduling conflicts and proactively finding solutions
  • Prioritising emails and streamlining inboxes
  • Flagging impending deadlines for deliverables to Executive Leadership Team
  • Confidence in dealing with conflicting priorities and demands on time by expertly managing your own workload with minimal supervision
  • Document preparation in Word, Excel and PowerPoint
  • Discreet handling of confidential information
  • Schedule team meetings and away days and take minutes at team meetings
  • Handling travel arrangements and putting together detailed itineraries
  • Assist Executive Assistants with scheduling departmental events
  • Preparing and submitting expenses for Directors
  • Updating the team’s SharePoint area, organising and maintaining an up-to-date document library.
  • Providing cover for reception when required
  • Support the wider admin team with absence cover
  • Responsible for all general administration as required

Required skills and experience:

  • Strong organisational skills and meticulous attention to detail
  • Structured approach to managing tasks and own workflow
  • Flexible, can-do attitude
  • Proven success in providing first class team administrative support
  • A high level of self-motivation and drive
  • Excellent working knowledge of the Microsoft Office software suite – Outlook, Teams, Word, PowerPoint and Excel.
  • Excellent written and spoken English
  • Good verbal and written communication
  • The ability to deliver excellent results under pressure and keep to deadlines
  • Highly personable and service oriented
  • Exemplary problem-solving skills and ability to think laterally
  • A natural team player

Desirable

  • Experience of working within global organisations

This is a full-time, permanent role based in our central London office with options for hybrid working. This role will report into the EA Manager.

Please note: No travel is required for this role

Salary and benefits:

Salary £31,000 - £35,000 depending on experience, 30 days’ holiday, generous non-contributory pension and life assurance provision, very flexible hybrid working arrangement tailored to meet individual needs as well as organisational needs (office based in Central London), excellent wellbeing programme, well established training & development opportunities and a host of other benefits after a qualifying period.
