Project Manager

To ensure the smooth running of the project including project planning and delivery, preparation and distribution of materials, liaising with suppliers and partners and ensuring successful and timely delivery. Present budget and plans to steering group. Maintain oversight of the budget and ensure actuals up-to-date for steering group meeting. Further develop existing tracking tools to increase the effectiveness of delivery, and allow all stakeholders to see progress easily.

Support the team to monitor, review and report on project performance against objectives and targets including maintaining and tracking project expenditure and providing information to other members of the team and stakeholders when requested. Arrange meetings, book meeting rooms and source venues and catering arrangements where needed. Act as a point of contact for general queries from colleagues across the business and key external contacts and be responsible for the Management of stakeholders, internal and external. Liaise with key stakeholders around the business to support planned Responsible Business of the year activity.

Manage meeting requests and associated paperwork and act as a central point of contact for diary management. Produce minutes from meetings in a timely manner and maintain an efficient system to ensure actions are carried out by deadlines. Understand the timelines of other business-wide projects and initiatives to help identify interdependencies, manage risks and to enhance impact throughout the duration of the year. Event planning.

Coordinating and creating updates and documentation associated with the project. Ensure the efficient sign off of materials (by liaising with the responsible AW stakeholders). Prepare a clear and concise brief for each element of the project, to include rationale and budget plan to which all parties agree. Work with communications teams and external partners to produce materials in advance of event.

Manage suppliers, invoicing, payments and other administrative activities in support of the programme team. Manage SAP related to this project. Process payments and invoices for Responsible Business of the Year projects.
