We are looking for a highly organised Executive Assistant to the Chief Compliance and Corporate Affairs Officer who has excellent communication skills, the ability to build effective relationships and liaise with internal and external stakeholders at all levels. This role will have access to confidential information and the successful candidate must be able to work in a private and considered way.

The successful candidate will be required to work out of and travel to the Guildford and/or London offices, as well as work from home. This role will also require flexible working hours to suit the demands of the job.
Key Responsibilities

  • Co-ordinate internal and external meetings and manage email correspondence, requests, and enquiries in a timely manner
  • Ensure agendas/itineraries for meetings are organised proactively and in advance of meetings
  • Attend meetings and take confidential meeting minutes whilst ensuring that follow up for closure of actions is achieved
  • Prepare complex reports and presentations, ensuring that submission deadlines are kept
  • Work closely and collaboratively with the Heads of Department team providing support during busy periods
  • Build cross-functional relationships with both external and internal stakeholders
  • Ensures key meeting reports, minutes, slide packs/meeting papers, action updates and presentations are completed and issued in good time
  • Organise both team and offsite events
  • Prepare expense reports ensuring submissions are made ahead of time
  • Manage all HR administration and support

Skills Required

  • Knowledge of Microsoft Office – Word, Excel and Outlook, and an aptitude to learn new software
  • A flexible and ‘can do’ working style

  • A natural problem solver who remains calm under pressure
  • Meticulous attention to detail and committed to delivery of outstanding service
