Position Overview & Specifications

General Administrator

The Acme Facilities Group are a leading long-established supplier of a diverse range of catering, refrigeration & air conditioning equipment and services. We operate in a competitive sector but have proven our credentials by providing our customers with a high level of service.

Main purpose of role

Main Objective: The main duties of the role are to assist the Service & Project Engineering departments in dealing with various office administration tasks and to handle customer requests politely and efficiently via telephone and email.

Main Duties and Responsibilities:

  • Handle inbound and outbound phone call and email traffic for all service department requests ensuring this is completed in a timely manner.
  • Using the company IT programmes, carry out various data entry tasks to ensure all information is correct and up to date.
  • Arrange engineer appointments via telephone for programmed work schedules.
  • Provide customer updates via web portals, email, or telephone at appropriate times.
  • Act as cover for general administrative tasks within all departments where required.
  • Complete administration tasks associated with data entry, deciphering engineer reports and information ensuring accurate records are held.

General Responsibilities.

  • Must be willing to undertake training in order to assist personal development and help the growth of the business.
  • Be willing to assist customer’s enquiries and questions, adopting the highest standard of customer care. Be helpful and guide the customer to the relevant company department.
  • Use necessary company equipment to complete set tasks.
  • Ensure the best interests of the company are maintained.
  • Present a smart and professional image at all times.
  • Endeavour to work as part of the service team to achieve the objectives of the department.
  • Any ad hoc duties considered within your skills and competencies as defined by your line manager.

Key Skills and Capabilities

· Self motivated and team player

· Excellent interpersonal skills.

· Keen eye to detail.

· Experience of working in a fast-moving high-pressure environment.

· Ability to multitask.

· Good I.T Skills – Experienced with MS Office

· Strong communication skills both verbally and written.

This a full time role Monday to Friday 08:30am to 17:00hrs (37.5 hours per week) – although flexible start times may be required. Includes participation on the weekend call handling rota for which a fully fixed fee is payable.
